Getting Started

What devices can I use WELL AI Voice on?

WELL AI Voice can be used on desktop and laptop computers. The software is not currently supported on tablets or smartphones.

Do I need to have a microphone?

Yes, WELL AI Voice requires your desktop or laptop to have access to a microphone. However, it doesn’t need to be a special device — the microphone you would use for a normal video conference will suffice.

What is Ambient Scribe?

Ambient Scribe is a new feature that will generate a structured SOAP note from either a spoken summary of the visit, or from listening to the conversation with the patient.

How long does it take to install and train physicians in my clinic?

You can easily install WELL AI Voice in less than 5 minutes with a click of a button. There is no training required – it is very intuitive and simple to use. Once you have installed the software to your computer, the Ambient Scribe, Medical Dictation, Medical Search (and EHR Assistant on OSCAR Pro) features will be available immediately.

Do you support any languages other than English?

Yes! Our Medical Dictation feature works in French as well. To turn on the French version, just log in as your normally would, open the sidebar and you’ll see an option to select ‘French’. Once that is selected, the Medical Scribe will recognize spoken French and transcribe appropriately.

WELL AI Voice is powered by our partners at Tali, a leading AI-powered medical dictation and ambient scribe platform. While Tali provides the platform to provision and set up your WELL AI Voice account, the WELL Health AI team is here to answer your questions and help you get the most out of our solution.

How is WELL AI Voice different from other dictation or scribing tools?

As one of the highest performing voice solutions for physicians, WELL AI Voice has a higher degree of accuracy compared to other tools and is immediately ready to start using once downloaded, with the microphone you already have. Account

Is this for family physicians only, or can other members of the care team and specialists use it as well?

WELL AI Voice is designed to facilitate interaction with EHRs. Whether you are a family physician, specialist, or allied health professional such as a nurse, nurse practitioner, midwife, naturopathic doctor, chiropractor, or other practitioner, you can use WELL AI Voice to interact with your technology solutions to optimize your practice.

WELL AI Voice Integrated with OSCAR Pro

How do I integrate WELL AI Voice into OSCAR Pro at my clinic?

Follow these instructions to enable WELL AI Voice Tali in your instance of OSCAR Pro.

If I already have an account with WELL AI Voice, can I use it with the integrated version?

Yes, absolutely.

Can I use the Chrome Extension instead of the integrated version?

Yes. To use the Chrome extension instead just follow these instructions on our Download and Install page.

What is the difference between the integration and the extension?

The only difference is that with the integrated version, you do not need to download anything. The underlying product is the same.

Which forms on OSCAR Pro will the EHR Assistant open for me?

The EHR Assistant will open any form or e-form enabled on your instance of OSCAR Pro.

The integrated version has been disabled; how do I re-enable it?

To re-enable the integrated version, look for a small button labeled ‘WELL AI Voice’ in the bottom right-hand corner. Click that button and the widget will reappear. You may need to log out of OSCAR Pro and back in again.

Using WELL AI Voice

Do I need to have a separate account, in addition to my EHR account, to use WELL AI Voice?

Yes, you will need to set up a separate account. We are working with several EHR providers in Canadian primary care to make the authentication process easier through a Single Sign-On (SSO) mechanism.

If I'm using a headset, will WELL AI Voice pick up my commands?

Yes, as long as your headset’s microphone is connected to your computer, you can use our voice functionalities. There is no need for a special device, the microphone you might use for a normal video conference will suffice.

Can I add punctuation to my notes as I dictate?

Absolutely! WELL AI Voice will recognize common punctuation (commas, periods, parentheses, and so on), commands like ‘new line’ or ‘new paragraph’. Just try it out!

What commands can I use with the EHR assistant?

Today you can use three commands when working with OSCAR Pro:

Create a tickler by saying “remind…” and then who you want to get the reminder, what you want them to be reminded about, as well as when the reminder should be triggered with what priority.
Open a form by saying “open…” and the name of the form.
Open an e-form by saying “open…” and the name of the e-form.

How frequently is WELL AI Voice upgraded or updated?

Improvements to the algorithm are deployed every few days and you will experience the algorithm performing better instantly. Improvements to the product (feature enhancements or new features) are deployed once every month, as we want to make sure we run proper quality assurance on the product before making it available to physicians at the point of care. These changes will often be invisible to you and will rarely, if ever, require any action on your part.

Accuracy

What studies have you done on WELL AI Voice's accuracy?

The language model used was initially developed in response to an RFP from the Public Health Agency of Canada. Six months of research was conducted on state-ofthe-art NLP algorithms to understand if the current algorithms could provide a solution with medical-grade accuracy. A pilot was run in Edmonton in the early stages of the COVID-19 pandemic in the spring of 2020. The feedback gathered from physicians encouraged the continued improvement of the language model and making it more efficient. Since then, more than 20,000 records have been gathered, in a variety of accents, to fine-tune the algorithm. WELL AI Voice is one of the highest-performing voice solutions for physicians.

Does the system learn from the history of each encounter or is it taking other sources of content to make the EHR more efficient?

A team of annotators record proprietary notes and question-answers. The algorithm is fine-tuned after every new recording created from the physicians. This is done securely and with privacy in mind.

Integrations

Which EHRs is WELL AI Voice compatible with?

WELL AI Voice’s core features (Ambient Scribe, Medical Dictation and Medical Search) can be used on any web-based or desktop EHR. The EHR Assistant is compatible with OSCAR Pro today, and work is ongoing to integrate with other EHRs. Is WELL AI Voice integrated into the EHR?

WELL AI Voice is a layer on top of your EHR. You can dictate your notes directly into your EHR or find medical or drug information right inside your EHR. Our integration might be a little deeper with some, like OSCAR Pro, but the core functionalities (Ambient Scribe, Medical Dictation and Medical Search) are supported on all EHRs whether web-based or on your desktop.

My EHR is not available as a web application. I only have a desktop application, can I still use WELL AI Voice?

Yes! You can download WELL AI VoiceTali for desktop today.

Pricing

I'm just starting out, do I need to pay now?

All features are accessible in the free plan, but are limited in the volume of usage. You can start as a free user to try out WELL AI Voice you will be prompted to upgrade as your usage increases. You can learn about our different pricing tiers here.

If I pay for a WELL AI Voice subscription, can I use it on other computers at other clinics?

You can use WELL AI Voice in every clinic you work in, as well as at home. You’ll just need to install the software and log in on each computer that you work on.

How do you calculate usage? Will I get information about my usage level?

Usage is calculated based on the length of the audio recordings you make while using WELL AI Voice’s Medical Dictation, or from the number of times you use Ambient Scribe. You also have access to reports on your level of usage and estimated time saved within the app; if you have any questions, please feel free to reach out to us at sales@apps.health.

How does a clinic add more users?

Each physician can arrange their own license or the clinic can contact us directly to procure multiple licenses or make arrangements for training and onboarding. We want to ensure your clinic is successful. Contact us at support@wellhealth.ai to learn more.

How will you bill me?

You will be asked to provide your credit card details when you sign up for a paid plan. Your credit card will be billed at the agreed frequency once you’ve signed up. You can cancel at any time, and once you cancel, you’ll be able to use the software until the end of your agreed term.

Can I cancel at any time?

Yes. Once you cancel, you can keep using the software until the end of your agreed term.

Security

What information do you store and for how long?

We currently store the medical questions physicians ask and the audio files they transcribe. However, we don’t link these records to any patient’s PII. We also gather high-level analytics about your engagement with WELL AI Voice (the number of times you use each feature per day, how long it takes you to transcribe a note, how many times you edit the note, etc). These analytics don’t include any PHI or PII and are only used to optimize the product. Please see our Terms of Use and Privacy Policy for further details, and do contact us should you have further questions.

Does the clinic or hospital IT department have to be on board and provide permission?

Depending on your organization’s policies, you might have to consult your IT department. We have made that process easy by having our Privacy Impact Assessment (PIA) and the privacy and security documents ready for review. WELL AI Voice is a lightweight piece of technology and the review process doesn’t generally take long.
